Privacy Policy
Last updated: October 2026
We collect only what we need to file your request and to take payment.
What we collect
- Your name, date of birth, country, email address
- Application details you give us: UCI, application number, type of application, notes
- Records the government sends back, which we pass on to you
- Payment confirmation from our payment provider. We never ask for or store your card number.
Why we use it
To identify you correctly, prepare and file your request, contact you about your order, take payment and meet our legal obligations.
Website analytics
We use Google Analytics 4 to count visits and see which pages people use. It sets cookies and sends visit data (such as pages viewed and the approximate location of your device) to Google, which may process it outside Canada. We do not send the details you type into the request form to Google Analytics. You can block it with your browser settings or a blocking extension, and the site works the same without it.
Who sees it
- The government institution we file your request with (IRCC or CBSA)
- Our payment provider and our email provider. When you submit the request form, your details are sent to us by email, so they are also stored in our email account.
- Our hosting providers, who store data on our behalf
We do not sell your information.
How long we keep it
We keep order records for six years to meet tax and accounting obligations. You can ask us to delete your personal details sooner, except where we are required to keep them.
Your choices
You can ask to see, correct or delete your information by emailing hi@gcmsnotesfile.ca. We will reply as soon as we can.
Security
We limit who can access order information and use trusted providers. No online service is perfectly secure, so do not send us passwords or card numbers.
